Creating consistent, high-quality YouTube content doesn’t have to eat up all your time. In this post, I’m walking you through my easy YouTube workflow for planning, outlining, and filming four to five YouTube videos in just one day — all in under four hours a month. This method allows me to upload a weekly video consistently without it taking over my calendar. If you’re a business owner wanting to use YouTube to grow your brand, this blog (and video) is going to be a game changer.
The 4-Hour Monthly YouTube Workflow
This blog post is part three in my YouTube for business series — so if you haven’t watched the first two videos yet, head to the playlist and catch up. Now let’s dive into how I plan and film all my YouTube videos in just one focused day per month.
Step 1: Monthly Batch Planning + Ideation
The first step is planning out your content on a monthly basis. I sit down once per month and decide what four to five videos I’m going to film for the upcoming month. Instead of coming up with video ideas every week, I batch the entire planning process — and it saves me SO much time and brainpower!
I love using the Help, Hub, and Hero framework when brainstorming video topics:
-
Help videos are searchable and designed to attract new viewers.
-
Hub videos are for your current audience — nurturing and serving them.
-
Hero videos are more aspirational and viral-focused, aiming for broad reach.
When I sit down to plan, I think about my ideal audience, what they’re searching for, and how I can reach them through this video mix. I also use my own custom AI assistant (which I’ve built based on my own framework!) to help me generate strong YouTube ideas. It’s literally a lifesaver and is included inside my course, YouTube for Business.
Once the ideas are ready, I plug them into my Trello content calendar with their titles and CTA placeholders, setting myself up to start outlining.
Step 2: Outlining All My Videos at Once
Outlining is the second key part of this process. And yep — I do it for every single video before I ever hit record.
Using my YouTube outline framework, I break each video down into:
-
A clear, compelling intro
-
3 core teaching points
-
A strong outro with a clear CTA
I also make sure to include my primary call to action somewhere within the outline, so it feels organic and intentional. This might be a freebie, a class, a product — whatever I want the viewer to do next.
My outlines are very casual, bullet-point style — not full scripts. I’ve found that a conversational outline helps me show up more authentically on camera (and connect better with my audience). It takes me about one hour to outline four to five videos, and then I’m ready to film.
Step 3: Batch Filming Day
Now comes the fun part — filming! Since the hard work of planning and outlining is already done, I can go straight into batch filming mode. I usually film four to five videos in one sitting, and depending on the day, it takes me two to four hours max.
I do all the prep ahead of time — my lighting, setup, hair and makeup — so I’m just hitting record and rolling through each video. It feels so efficient and easy because I already know exactly what I’m saying and why.
And here’s the thing — the longer I’ve done this, the faster I’ve gotten. Some of my students have filmed up to 11 videos in just 16 hours (editing included!) following this method.
Step 4: Handing It Off to My Team
Once I’ve filmed everything, I hand off the raw footage to my team for editing and uploading. They handle:
-
Video editing
-
Thumbnails
-
Descriptions
-
Scheduling
-
Adding cards and end screens
This step is where the real time savings come in — the actual upload and polish process doesn’t take up my time anymore, but it still gets done consistently and strategically.
Even if you don’t have a team yet, you can use this same workflow to make filming easier — and then slowly outsource tasks as your business grows. The key is you are the creative engine for your YouTube content, and everything else can be systemized and handed off.
Why This Workflow Works
The beauty of this 4-hour process is that it’s sustainable. You don’t need to be on the content hamster wheel constantly trying to figure out what to post. YouTube becomes a foundational part of your content marketing strategy, and from there, you can repurpose these videos into dozens of other pieces of content every single week.
That’s right — next in this series, I’ll show you how to take one YouTube video and turn it into 15+ other pieces of content like:
-
Instagram Reels
-
Feed posts
-
Pinterest pins
-
Emails
-
Blog posts (like this one!)
-
And more
When you start with high-value, long-form video content, everything else becomes easier — and your business content finally starts working for you.
